Marketing Events Specialist

Reporting to the Manager, Marketing at PADI Americas, the Marketing Events Specialist will perform a broad range of duties in the areas of marketing, advertising, coordinating tradeshows as well as administrative support to department leadership. Candidates must have professional work experience in planning, organizing and controlling tradeshow events to allow them to assume substantial responsibilities with minimal supervision. Candidate must also have experience working in an administrative support role, managing multiple tasks in a timely and accurate manner. Bilingual in Spanish required.

What You Will Do

In your role, you will be responsible for the following:

  • Independently manage all aspects of the consumer show circuit including: organize travel arrangements for show attendees, prepare show contracts, order show services, coordinate shipment of materials and other duties as assigned.
  • Plan logistics and negotiate contracts for conferences and/or events with respect to budgets, speakers, entertainment, transportation, facilities, technology, equipment, logistical requirements, food and beverage, and other related issues.
  • Responsible for writing and creating tradeshow collateral. Including but not limited to emails, direct mail, brochures, flyers and signage.
  • Must be available for consumer show, event and other travel as related to the position.
  • Help prepare quarterly Board of Directors, All Management and All Employee presentations for the Chief Marketing Officer.
  • Maintain appointment calendar for Chief Marketing Officer and Marketing Manager. Prioritize and schedule meeting requests as well as remind meeting commitments.
  • Coordinate travel arrangements for Chief Marketing Officer and prepare trip binder with appropriate information to assist with travel objectives.
  • Coordinate Marketing Department Monthly Meeting; prepare agenda, record minutes, and participate as a team member during the meeting.
  • Act as primary contact for ad traffic management via phone, fax, and written correspondence with media production assistants; create master ad schedule and calendar of deadlines for sending insertion orders and ad materials for creative services department to follow. Send email reminders, as necessary, to staff in order to ensure all ad deadlines are met.
  • Compose routine correspondence, proofread, and edit department correspondence as requested.
  • Coordinate shipment of promotional materials and PADI products to PADI RHQs, Professional Members, charities and consumers (public relations). Coordinate bulk emails as requested by marketing management staff.
  • Open, organize, prioritize and distribute mail and general inter-office correspondence for marketing department; sort mail for Chief Marketing Officer according to priority review, items requiring action or signatures and lower priority items.
  • Run errands for the department and staff as needed.
Skills and Experience You’ll Need to Be Successful In This Role
  • Bachelor's degree (B.A.) or equivalent from four-year college required
  • Minimum two years secretarial and/or administrative experience supporting managerial level personnel
  • Proven track record of servicing tradeshow events effectively with a strong attention to detail.
  • Background in marketing or public relations field preferred.
  • Bilingual Spanish required.
  • Type 70 wpm. Shorthand skills preferred.
  • Professional attitude and telephone manner
  • Confidentiality required
  • Computer literate with ability to enhance skills as required; strong knowledge of Microsoft Word, PowerPoint and Excel required; familiarity with Outlook strongly desired
  • Superior judgment, discretion and tact in interpersonal relations
  • Excellent spelling, grammar, punctuation
  • Excellent organizational and time management skills
  • Excellent attention to detail
  • Ability to multi-task a variety of assignments successfully
  • Must show initiative and display a high pride of ownership of projects
